Conference Business Minutes, June 19, 2007
Douglas County - Parker
Karen Sheaffer, Eagle Count, CCTA President, called the meeting to order at 8:35 a.m. and welcomed everyone.
The Presentation of Colors was done by the Douglas County Sheriff's Office. Invocation was given by Pastor Rick Mills. A welcome was given by David Casiano, Mayor of Parker, and Douglas County Commissioner, Melanie Worley.
Mack Crowther shared the minutes from the Fall Seminar in October, 2006 with the membership and a motion by Bob Sagel and seconded by Ed Murray to suspend the reading of the minutes and approve them as presented. Motion passed unanimously. Roll call was taken with 48 Treasurers present. Treasurer's Report was given with a balance of $159,366.51 as of May 31, 2007.
Karen Sheaffer then asked for Committee reports.
Budget & Audit Committee - Karen Sheaffer, President, stated there were three recommendations for the coming year. First for the President to develop a budget for this year including a scheduled budget meeting this fall at Seminar, further written approval for major expenses, and to make sure to file a 990 form with IRS for non-profit status. Also, the Executive Board had met and found the financial records of CCTA presented by Secretary-Treasurer, Mack Crowther, to be in order and balanced as of May 31, 2007. A motion by Jamie Crocket, Jackson County, and seconded by Lois Widhalm, Alamosa County, to accept the Audit Report as presented. Motion passed unanimously.
Bankruptcy Committee - No report.
By-Laws Committee - No report.
Conference Committee - Sharon Jones, Douglas County, thanked her staff for all their help to make this conference a success. She asked everyone to please thank the vendors.
Continuing Education Committee - Jim Covington, Lincoln County, spoke about the Registration Forms for Credit with Mesa State. Rather than signing a sheet after each class, everyone is to make a copy while at the conference with the CCTA's printer and give it to Jim Covington before leaving. Joy Montoya is the new contact person with Mesa State. Also deputies can take classes on the Internet. They are $89 per credit hour.
Credential & Accreditation Committee - Sharon Jones, Douglas County, said there are three new applicants to receive their accreditation and three renewals that will be recognized at the Banquet.
Electronic Payments Committee - No report.
Forms Committee - Linda Statz, Phillips County, mentioned about a form for the Mobile Home Certificate of Ownership be available as a Word document, perhaps on the website so everyone could access this form.
Historical Committee - No report.
Liaison Committee - No report.
Nominating Committee - Dennis Smith, Otero County, placed the following list of individuals as a recommendation to serve as officers for the coming year. As President: Sharon Jones, First Vice-President: Susan Cochell, 2nd Vice-President: Alynn Huffman, Secretary-Treasurer: Mack Crowther, Board Member: John Lefebvre, and Board Member: Jim Ventrello. No other nomination were presented. A motion by Bob Sagle and seconded by Jamie Crocket, to accept the nominations as presented. Motion passed unanimously.
Necrology Committee - Patty Bartlett shared the names of three former Treasurers who had passed away since our last conference. Ramona Radcliff, Ouray County, served 42 years and passed away February 23, 2007. Geraldine Thompson, Clear Creek County, served 19 years and passed away October 26, 2006, and Rebecca Alexander, Washington County, served 6 years, and passed away February 25, 2007. Condolences were expressed to their families and Counties in their loss.
Resolutions Committee - Connie Joiner and Patty Bartlett, read the resolutions report and is attached as a permanent part of these minutes. [These were not available for posting to the web site - Webmaster]
Scholarship Committee - Karen Sheaffer, reported that there were three applications and one recipient would be presented at the Banquet on Thursday evening.
Seminar Committee - Myrna Rodenberger, reported that the theme would be "Stars & Stripes" and Seminar would be October 22 - 26, 2007 in Fort Collins. There will be a speaker on currency fraud.
Site Selection Committee - Billie Mills, reported that Gilpin County would be hosting the Conference in 2011 instead of 2009. 2009 was now open and Summit and La Plata were interested at this time. However, the consensus was to have formal presentations at Seminar and vote on it at that time.
Past Presidents - Jim Covington, mentioned that they had met two weeks ago. They had notes on recommendations but were not typed yet. The notes were concerning how to run Conference and Seminar.
Treasurer's Manual - Myrna Rodenberger, mentioned they were working on a website by Fall for the information to be online.
Website update - Bob Sagel, mentioned the new roster was now available on CD and for each Treasurer to sign the sign-up sheet for receiving a CD before leaving Conference.
With no further business, meeting was adjourned at 10:00 a.m.
